Duties And Responsibilities Procurement Process Management: Review submitted specifications for PRQs from various departments; Prepare Requests for Quotations (RFQs) and compile summary of quotations; Identify potential suppliers from the prequalified supplier list; Evaluate supplier proposals and assist in contract preparation; and Document proceedings of procurement committee meetings. Contract and Documentation Handling: Draft and dispatch procurement-related documents (e.g., LPOs and contracts); Ensure compliance with procurement procedures and administrative requirements; and Notify tenderers of outcomes and manage contract amendments as necessary. Administrative Support: Maintain well-structured procurement files and records in both the Electronic Document Management System (EDMS) and the Enterprise Resource Planning (ERP) system. Procurement Execution: Ensure timely processing of payments and follow up with suppliers on remittance advice. Evaluation Committee Participation: Serve as secretary during tender evaluations in the absence of the Procurement Officer; and Ensure timely documentation and communication of evaluation outcomes. Asset Management: Tag assets and update the fixed asset register accordingly; and Monitor and manage office supply inventory, ensuring timely replenishment. VAT Management: Process VAT applications and follow up on pending VAT claims with the Ministry of Foreign Affairs (MOFA) and the Kenya Revenue Authority (KRA); and Maintain accurate records of VAT submissions and receipts. Qualification And Experience Aged 30 and below at point of submitting application. Holds a minimum of a master’s degree or its equivalent from a recognized university. Is an African who has legal documents that allows him/her to work in Kenya (physically) or remotely from any African country. Ability to communicate effectively (written and oral) in English, with a working knowledge of another language (e.g. proficiency in French is an added advantage).
