About the Role

Our client, a leading AI-first real estate and property management company, is seeking a Virtual Assistant (Operations & Property Management) to support their long-term rental portfolio and brokerage operations. This role involves property marketing, leasing coordination, owner/tenant communications, maintenance scheduling, compliance, and light social media support.

This is a remote role that requires exceptional organization, strong communication skills, and proven experience in real estate or property management.


Key Responsibilities

Property Marketing & Tenant Acquisition

* Publish & update property listings via AppFolio (syndicating to Zillow, Apartments.com, Realtor, etc.).
* Draft engaging, compliant property descriptions.
* Respond to tenant inquiries, schedule showings via Tenant Turner, and conduct follow-ups.
* Pre-screen prospects against set criteria and maintain records.
* Monitor unauthorized use of listings/photos and report scams.

Leasing & Tenant Onboarding

* Process rental applications including verifications and credit/background checks.
* Prepare and track lease agreements via DocuSign.
* Coordinate security deposits, move-in tasks, utilities setup, and inspections.

Tenant & Owner Relations

* Serve as first point of contact for tenant inquiries.
* Manage maintenance: create work orders, schedule vendors, and ensure timely closure.
* Schedule property inspections and track compliance.
* Handle lease renewals, rent collection, and late payment follow-ups.

Brokerage & Administration

* Support brokerage tasks (listing packets, photography, signage, disclosures).
* Perform basic CRM updates (BoomTown).
* Provide professional phone and email support.

Social Media (Secondary Priority)

* Monitor & engage on company social channels (Facebook, LinkedIn).
* Assist with posting approved content and reporting engagement metrics.

Compliance & Reporting

* Maintain digital files, records, and dashboards (AppFolio/Google Workspace).
* Ensure all processes align with company SOPs and compliance standards.


Requirements

Education & Communication

* Bachelor’s degree preferred.
* Fluent English with a neutral, American-sounding accent.
* Excellent written & verbal communication skills.

Experience

* 2–3+ years in real estate, property management, or administration.
* Proficiency in AppFolio (6–8/10) & DocuSign; Tenant Turner & BoomTown are a plus.
* Proven ability to handle leasing files, vendor coordination, and tenant communications.
* Familiarity with social media business accounts.

Technical Skills

* Strong computer skills with reliable internet (≥100 Mbps).
* Proficiency in Google Workspace; Canva a plus.
* Comfortable using AI tools for documentation.
